Job Summary
The Collections Team Lead ensures the maximization of cash flow by confirming the daily expectations of each Collections Specialist are completed within a timely manner to Zealie’s standards, while simultaneously ensuring their own daily expectations are completed in the same. The position requires strong managerial, leadership and business office skills, including critical thinking and the ability to produce and present detailed collections activity reports. May also assist in daily activities when needed to ensure deadlines are met. The Collections Team Lead will communicate with Clientele and join Client meetings as needed.
Responsibilities and Duties:
- Supervise Collections Specialists and ensure expectations are being met
- Conduct regular team meetings to review progress, address challenges, and align on department goals.
- Mentor, coach, and develop team members to strengthen their technical and professional skills.
- Monitor performance metrics and provide constructive feedback to promote continuous improvement.
- Assist Collections Manager
- Assign claims that need statused to the Collections Specialists
- Review and provide feedback on the team’s daily production
- Review and respond to QC’s feedback in the user-wise sheets
- Review and respond to any Third Party Administrator offer for your team
- Review and resolve any high level task and/or escalation from your team, supervisor, and/or client
- Routinely review specific claim statuses as advised by management
- Ensure accuracy of payments for invoicing
- Ensure work is covered when a Collections Specialist (CS) or Senior CS is out of office
- Make calls to carriers regarding status of claims and payments
- Review and research all denials and partial payments
- Coordinate with internal departments and clientele
- Attend internal and client meetings, as needed
- Coordinate the credentialing and contracting of new and/or existing facilities
- Onboard new clients
- Train new employees
- Maximize revenue for Zealie and clients
- Perform additional duties as requested by direct Supervisor and/or Management
Qualifications and Skills
- Demonstrated ability to manage, mentor, and support a team, fostering collaboration and accountability
- Excellent organizational and time management skills
- Ability to successfully navigate private insurance denials for proper adjudication
- Ability to navigate Payer Portals to verify eligibility, claim status, and remittance details
- Ability to read and understand an Explanation of Benefits (EOB)
- Effective communication skills, both verbal and written via phone and email
- Experience in collaborating with different departments and skill levels to accomplish a shared goal
- Proficiency utilizing Electronic Health Record Systems & Billing Software such as Kipu, ZenCharts, BestNotes, SunWave, CollaborateMD.
- Proficiency in Google Products including Google Workspace, Google Drive, Google Sheets, Google Docs
- Ability to navigate various technology and software tools such as Zoom, eFax software, Adobe, Systweak
Education and Experience:
- Minimum of 3 – 5 years of experience in the Collections / AR process, with demonstrated expertise in handling complex cases.
- High School Diploma, Senior School Certificate, or the equivalent.
(Preferred):
- Quality Score that meets or exceeds Zealie’s expectations for 6 consecutive months
- Has been employed as a Collections Specialist by Zealie for at least 1 full year in total
- Has been an SME at Zealie for at least 6 months
- Experience in assisting a supervisor on special projects and staff on complex AR cases
- Experience working in a behavioral health billing setting
- Experience working in Substance Abuse/Mental Health Treatment Industry
- Experience statusing 50+ claims per day
- Comprehensive knowledge of all levels of care (Detox, RTC, PHP, IOP, OP, Aftercare)
