Job Summary
The Patient Collections Representative supports behavioral-health treatment facilities by contacting clients and families to review insurance benefits, communicate financial responsibility, and collect deductibles, out-of-pocket costs, paid-to-patient checks, and funds for self-pay clients. This role requires strong communication skills, attention to detail, and the ability to navigate sensitive financial conversations while maintaining compliance and supporting a positive treatment experience. Ideal candidates have experience in admissions, collections, or sales within substance-abuse and mental-health treatment, along with knowledge of insurance benefits, and the ability to navigate multiple systems such as EMRs, billing software, and merchant processors in a fast-paced, growing environment.
Responsibilities and Duties
- Contact clients, guarantors, and families to review insurance benefits and clearly communicate financial responsibility.
- Collect deductibles, out-of-pocket expenses, paid-to-patient checks, and funds for self-pay clients in a compliant and supportive manner.
- Establish positive rapport with clients and guarantors to encourage timely payment and ongoing communication.
- Follow up consistently on outstanding balances and overdue accounts to ensure timely resolution.
- Maintain accurate documentation of all collection attempts.
- Process payments using online merchant processing portals.
- Collaborate with clinical teams or facility staff when clarification or coordination is required.
- Maintain HIPAA compliance and protect sensitive patient financial information.
- Navigate EMRs, billing platforms, and internal databases to locate required financial, demographic, or account information.
- Handle sensitive or emotionally charged conversations professionally.
- Assess financial situations to determine appropriate payment options, arrangements, and reasonable expectations.
Qualifications and Skills
- Previous experience in admissions, collections, customer service, or sales within substance-abuse and/or mental-health treatment is preferred.
- Knowledge of insurance benefits, deductibles, out-of-pocket expenses, and paid-to-patient reimbursement processes.
- Strong verbal communication skills with the ability to explain financial responsibility clearly and professionally over the phone.
- Ability to assess financial situations and determine appropriate payment options or arrangements when needed.
- Proficiency navigating EMRs, CRMs, and billing software such as CollaborateMD, as well as merchant processing portals.
- Comfort working within multiple systems and databases to verify information, track accounts, and document interactions accurately.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and general computer literacy.
- Strong organizational skills with the ability to document interactions accurately and manage follow-ups reliably.
- Professionalism and empathy when speaking with clients, families, or guarantors regarding sensitive financial matters.
- Ability to remain calm, solution-focused, and compliant during challenging, emotional, or escalated conversations.
- Dependability, integrity, and strong attention to detail when handling protected health information (HIPAA compliance).
- Ability to work in a fast-paced environment with minimal supervision while supporting team and company goals.
- Problem-solving skills with the ability to identify issues, recommend solutions, and escalate concerns when appropriate.
- Experience working in MAT treatment, detox, or behavioral-health settings is a plus.
Education and Experience
- High school diploma or equivalent required; associate’s or bachelor’s degree in healthcare administration, business, psychology, social services, or a related field preferred.
- Minimum of 1–2 years of experience in admissions, collections, billing, customer service, or sales within substance-abuse and/or mental-health treatment settings.
- Experience reviewing insurance benefits and communicating financial responsibility to clients, families, or guarantors.
- Experience using EMRs, CRMs, and billing software (such as CollaborateMD), along with general proficiency in administrative and financial systems.
- Prior experience handling payment plans, financial agreements, or patient responsibility in a healthcare environment.
- Experience working in a fast-paced environment requiring frequent phone interaction and detailed documentation.
(Preferred):
- Associate’s or bachelor’s degree in a related field.
- Experience in MAT treatment, detox, or behavioral-health facility operations.
- Familiarity with merchant processing portals and online payment platforms.
- Knowledge of insurance benefit terminology, reimbursement structures, and paid-to-patient processes.
- Experience navigating multiple systems simultaneously while maintaining accuracy and compliance.
- Prior experience negotiating payment arrangements.
